Drop any bill. AI reads every field.

Drop invoices, receipts, photos or bank exports. AI reads vendor, GSTIN, items, tax and total, flags duplicates, and files to Cashflow when you say so.

WHAT A DROP CAN HOLD

Bills, receipts, photos, exports. Each handled its own way.

Every file in the drop is told apart and read the right way: a bill becomes an entry, a receipt finds its bill, a bank export becomes a statement.

  • Mixed files, one drop

Bills, receipts and bank or card statements together - PDFs, photos or exports, up to 15 MB each.

  • Bill details, read by AI

Vendor, GSTIN, invoice number, dates and line items with HSN/SAC, plus the CGST, SGST or IGST split.

  • Paid or unpaid, noted

AI looks for paid stamps, card last-4 and UPI or payment references. If the account is unclear, it asks.

  • Possible duplicates flagged

Another bill from the same vendor for the same amount within two weeks is marked a possible duplicate.

  • Receipts find their bill

A receipt dated within two weeks of its bill, same vendor and amount, is attached to that entry.

  • Statements parsed and matched

Statement lines become transactions, with a balance check, and are matched against your books.

SEE IT IN ACTION

One drop. Five files, read and filed.

HOW IT WORKS

From a pile of files to filed entries.

  1. Invoices, receipts, phone photos and bank exports together. Each becomes an upload row and is read with AI.

    Smart upload
    • MS-889.pdf · Mehta Steel invoiceReading
    • hdfc-jun.csv · bank export214 lines
    • IMG_2041.jpg · phone photoReading
    • indigo-eticket.pdfReady

Five mixed files, one drop - each becomes an upload row.

  2. The document sits beside its reading: vendor, GSTIN, invoice number, items with HSN or SAC, tax split, total and how it was paid.

  3. A bank or card export is told apart from a bill, parsed line by line and checked against its balances.

    • Lines matched to your books211 / 214

A bank or card export is told apart from a bill and parsed line by line.

  4. The invoice number and amount are compared with what you already have. A copy is flagged, with the evidence highlighted.

Discard the copy - or keep both if they really are two bills.

  5. Confirm the reading and the bill lands in Cashflow with its category, tax and payment - the original one click away.

    • Mehta Steel · MS/889₹1,72,000

The bill lands in Cashflow with its tax, category and payment.

READ FIELD BY FIELD

The paper on one side. Every field on the other.

Open an upload and the document sits beside its reading. As the scan passes each line, the field fills in - vendor, GSTIN, invoice number and date, line items with HSN or SAC, CGST and SGST, the total and how it was paid. Then AI picks the category and says whether input credit applies.

  • Vendor, GSTIN, invoice number and date
  • Line items with HSN / SAC, tax split and total
  • Category and ITC eligibility suggested by AI

CAUGHT BEFORE FILING

Same bill twice? It says so.

A phone photo of an invoice you already uploaded is a common slip. KhataPilot matches the invoice number and amount against your uploads and flags the copy as a possible duplicate - with the evidence highlighted - before it can reach your books.

  • Invoice number and amount compared with what you have
  • Discard the copy, or keep both if they are really two bills
  • Nothing is filed twice by accident

THE UPLOAD QUEUE

Everything you dropped. And where it went.

Each file becomes a row: reading, ready, or flagged. Statements parse on their own, receipts attach to the bill they belong to, and paid-or-unpaid is noted from the document itself.

REVIEW BEFORE YOU FILE

AI does the reading. You make the call.

New invoices land as drafts, kept out of your Incoming and Outgoing lists until you file them. Fix any field, open the original to compare, or discard it. Files AI can't read wait for you.

  • Bills and sales invoices told apart by matching your GSTIN and name
  • A suggested category with its usual ITC treatment and TDS section, if any
  • New vendors saved with the GSTIN and address printed on the bill
  • Reverse-charge notices and place of supply picked up from the bill

GOOD QUESTIONS. CLEAR ANSWERS.

About
Smart upload.

A few things to know before you start.

See all features
Which files can I upload?

PDFs and photos of invoices, receipts and bank or card statements, plus statement exports in CSV, XLSX, OFX or QIF. You can drop several files at once, up to 15 MB each.

Does anything get filed without me checking it?

New invoices land as drafts and stay out of your Incoming and Outgoing lists until you file them. Clear matches are linked for you - a receipt to its bill, a statement line to its entry - and can mark a bill paid. Detach or unlink one if it's wrong.

What happens if I upload the same bill twice?

KhataPilot checks for the same file and for the same invoice number from the same vendor. A match is flagged as already uploaded - discard it, or file it as a separate entry if it really is new.

What if AI can't read a document?

It moves to Failed to process, where you can enter the details by hand or discard it. AI can misread, so check key amounts against the original before you file. Password-protected PDFs need the password removed first.

Which file types can I upload?

PDFs, photos (JPG or PNG, including phone photos), and bank or card exports as CSV, XLSX, OFX or QIF. Bills are read field by field; exports are parsed line by line as statements.

What if the same bill is uploaded twice?

KhataPilot compares the invoice number and amount with what you already have and flags the upload as a possible duplicate before it is filed. You choose to discard it or keep both.
