Statement lines, matched to your books.

Drop in a bank or card statement in any format. The balances are checked, every line is matched to an entry, and the month is marked reconciled.

WHAT GETS MATCHED

Payments, transfers, fees, splits. Each the right way.

A line is more than an amount. KhataPilot knows a transfer from a payment, a bank fee from a bill, and a part payment from a full one - and books each where it belongs.

  • PDF, photo or bank export

PDFs and photos are read by AI. CSV, XLSX, OFX and QIF files are parsed line by line.

  • Split and part payments

One NEFT can settle several invoices, and two part payments can settle one. Open amounts stay visible.

  • Transfers stay transfers

Money moved between your own accounts can be marked as a transfer, not booked as income or expense.

  • Fees in the right place

Once the purchase is matched, its forex markup and the GST on it can be booked under it in one click.

  • Book new lines in bulk

Select open lines and add them as entries at once. Date, amount and payment method come from the line.

  • Remembers your choices

Lines you book by hand teach the matcher, so the same merchant next month is suggested the same way.

HOW IT WORKS

From a statement to a closed month.

  1. PDF, photo, CSV, XLSX, OFX or QIF - bank or card. KhataPilot reads every line and the opening and closing balances.

    Upload a statement
    • statement_jun.pdf · HDFC Current ••0921Reading
    • Period1 - 30 Jun 2026
    • Transactions214

PDF, photo, CSV, XLSX, OFX or QIF - bank or card.

  2. Opening against the last statement's closing, every line against the closing balance, overlaps with statements already uploaded.

    • Opening balance₹14,82,640.00
    • Matches May closingYes
    • Closing balance₹11,07,268.40
    • Lines add up to closingYes

A statement that may have been misread is flagged here, before matching.

  3. Exact matches are made automatically; close ones by AI, each labelled so you can see why. Part payments match as partials.

  4. For what is left: link a customer payment to its invoice, book a card bill as a transfer, record a bank charge.

    • DEBIT SMS alerts → bank charge₹17.70

Review each one, or apply all three at once.

  5. Apply the suggestions, book any new lines in bulk, and the month is marked reconciled - with the closing balance tied out.

MATCHED ON THEIR OWN

211 of 214 lines, before you touch anything.

Each statement line is checked against your entries by amount, date and counterparty. Exact matches are made automatically; close ones are matched by AI and labelled so you can see why. A bill paid in two parts matches as a partial, and stays open until the rest arrives.

  • Auto-matched when the amount, date and party line up
  • AI-matched when the names differ but the money agrees
  • Split and part payments matched as partials

AI REVIEW FOR THE REST

Three lines left. Three suggestions.

For the lines nothing matched, AI reads the description and proposes an action: link a customer's payment to the invoice it settles, record a card bill as a transfer, book a small debit as a bank charge. Apply them one at a time, or all at once.

  • A customer payment linked to the invoice it pays - marked paid
  • A card-bill payment booked as a transfer, not an expense
  • Bank charges and interest booked to the right place

CHECKS, FORMATS AND MEMORY

Read right. Then remembered.

Before any matching, the statement itself is checked - opening against the last closing, every line against the closing balance, overlaps with statements already uploaded. And once you decide how to book something, KhataPilot keeps the choice for next month.

STATEMENT OR BILL FIRST

Books and bank, checked both ways.

Matching works from either side. Upload the statement first or the bill first - the line can still find its entry. And anything booked to an account but missing from its statement is listed for a look.

  • Balance check flags a statement where lines may have been misread
  • Opening balance and gaps checked against the previous statement
  • Overlapping statements for the same account are flagged as possible duplicates
  • A sales invoice is marked paid once bank lines settle it in full

GOOD QUESTIONS. CLEAR ANSWERS.

About
Bank reconciliation.

A few things to know before you start.

See all features
Does KhataPilot connect to my bank?

No. There is no live bank feed. You upload the statement your bank gives you - PDF, image, CSV, XLSX, OFX or QIF - or email it to your KhataPilot intake address. Matching starts once it is linked to your saved bank account.

Will AI change my books without asking?

Clear matches link on their own, and AI applies a link only when the matching engine independently agrees. Transfers, new entries and exclusions wait as suggestions, with a reason, until you apply or dismiss them.

What if a customer pays less because of TDS?

The bank line can still be suggested against that invoice. If the gap is over 5%, the customer's name must be on the line or matched to them before, and it is noted as a possible part payment or TDS. You decide how to settle the difference.

Can I reconcile credit card statements too?

Yes. Card statements work the same way. KhataPilot finds the card by its last four digits and adds it if it isn't saved yet. For a new card, or when the printed name isn't your business, you confirm whose card it is before matching starts.

What if a statement line isn't in my books at all?

Book it from the statement. Open lines can be created as entries one by one or in bulk, and KhataPilot remembers the category and vendor you pick for next time.

Can I reconcile a card statement too?

Yes. Card statements are read the same way. A bill paid with a card and the card's own statement line are matched as a transfer, so nothing is counted twice.
