Real numbers. Honest forecasts.

Money in and out as recorded, what is outstanding either way, and what your subscriptions and EMIs will cost next - on a chart, a list and a calendar.

THE CASHFLOW RAIL

Position, dues, recurring, calendar. Four views of the same money.

Everything on the rail is built from entries you have already recorded or matched, so the numbers agree with your books by construction.

  • Each period against the last

Money in, money out and net cashflow each show their change on the previous period, in green or red.

  • Find any due quickly

Search Outstanding by vendor, customer or amount, filter by category and sort by party or amount.

  • Yearly plans when they renew

A yearly plan counts in the month it renews, and trials and one-time charges stay out of the forecast.

  • A calendar for your money

Switch between month and week, jump back to today and click a day to open the entry behind any item.

  • Cost analysis by category

Money in and money out split by category for any period, so you can see where the money goes.

  • Statements vs entries

See what share of the money on your bank statements has an entry behind it, then jump to your statements.

SEE IT IN ACTION

One month, four ways to look at it.

HOW IT WORKS

From recorded money to what's coming.

  1. The cash position shows what came in and went out - recorded, settled money - with the net for the period.

    Cash position · July
    • Money in₹14,34,200
    • Money out₹12,58,800
    • Net+₹1,75,400
    • Recorded, settled money onlyNo guesses

Pending invoices and bills live in Outstanding, not here.

  2. Last 7 days, 30 days or 12 months. The lines redraw, the KPIs recount, and each month sits against the one before.

    Pick a range
    • Last 7 days
    • Last 30 days
    • Last 12 monthsSelected
    • Hover a month for its in, out and net

The lines redraw and the KPIs recount for the range.

  3. Receivables and payables by due date, overdue ones flagged. Mark an invoice received and the row settles and leaves.

    Outstanding
    • Receivables · 2 open₹3,53,000
    • Payables · 3 open₹2,08,710
    • Acme Retail LLP · INV-2026-014Overdue
    • NileTech · Mark receivedPaid

Mark received, and the row settles and leaves the list.

  4. Subscriptions and EMIs, recorded for past months and projected three months out - the only forecast KhataPilot makes.

    Recurring · what bills again
    • Jul · paid so far₹83,214
    • Jul · still to pay₹43,571
    • Aug · projected₹1,35,250
    • Sep · projected₹1,26,785

Subscriptions and EMIs, three months ahead - nothing else is projected.

  5. Settled spends, invoice dues and renewals on the days they happen. Jump to today; click a day for what's on it.

    July 2026
    • Sat 18 Jul · INV-2026-014 due · Acme Retail LLP₹2,35,000
    • Fri 24 Jul · TodayToday
    • Wed 29 Jul · Google Workspace renews₹4,760

Settled spends, dues and renewals on the days they happen.

CASH POSITION

What came in, what went out, by month.

Money in against money out, for the last 7 days, 30 days or a year. Hover a month for its figures. Each period is set against the one before, so a slow month shows as a slow month - not a trend line someone drew.

  • Recorded, settled money only - pending items stay out
  • 7 days, 30 days or 12 months, with each month against the last
  • Net cashflow for the range, counted from the same entries

OUTSTANDING

Who owes you, and whom you owe.

Receivables and payables side by side, every open item by due date, the overdue ones flagged. Mark an invoice received when the money lands and the row settles, leaves the list and the receivables total counts down.

  • Receivables and payables in one view, by due date
  • Overdue items flagged until they are settled
  • Mark received or paid right from the row

RECURRING, CALENDAR AND CATEGORIES

What bills again, and when.

The Recurring card is the one place KhataPilot looks ahead: subscriptions and EMIs, recorded for past months and projected three months out. The calendar puts every due and renewal on its day. Cost analysis shows where the month went.

RECORDED, NOT GUESSED

Real numbers. Honest forecasts.

The cashflow chart counts only payments recorded as paid, and unpaid bills and invoices wait in Outstanding. The only projection is your recurring commitments - subscriptions and unfinished EMIs already on your books.

  • A sent invoice counts as money owed to you until it is paid
  • When bank lines cover an invoice in full, the invoice is marked paid
  • Foreign-currency subscriptions convert at the rate of their last charge
  • This month, this quarter, this financial year or any custom date range

GOOD QUESTIONS. CLEAR ANSWERS.

About
Cashflow & forecast.

A few things to know before you start.

See all features
Does KhataPilot forecast my whole cashflow?

No. The forecast covers recurring commitments only - your subscriptions and EMIs with installments left, for this month and the two after it. Money in and out counts only payments recorded as paid, and unpaid bills and invoices wait in Outstanding.

Does KhataPilot connect to my bank?

No. There is no live bank feed. Cashflow is built from the entries you record in KhataPilot, and the bank statements you upload are matched to them, so Statements vs entries shows how much bank money still has no entry.

How do I mark a bill or invoice as settled?

Open Outstanding and click Mark paid or Mark received on the row. When matched bank statement lines cover an invoice in full, KhataPilot marks the invoice paid for you.

Can I see what is due on a particular day?

Yes. The cashflow calendar shows payments in and out, plus unpaid bills and invoices on their due dates, in a month or week view. Click a day to see each item with that day's In and Out totals, and open any entry from there.

Does the forecast cover everything?

No, on purpose. Only subscriptions and EMIs are projected - three months from the current one - because those are the costs you have actually committed to. General money in and out is charted as recorded, never extrapolated.

What counts as money in?

Money that has actually arrived - a matched bank line or a payment you recorded. An invoice you have sent but not been paid for sits in Receivables until it is settled, so the chart and the dues never double-count.
